Eligibility & Required KYC Documents
To prevent fraudulent hardware misuse and maintain commercial accountability, all renters must complete a quick verification check prior to equipment dispatch.
- ✓ GST Registration Certificate or Company Incorporation Certificate.
- ✓ Company PAN Card & official business email address.
- ✓ Authorized Signatory / Director ID (Aadhaar or PAN).
- ✓ Official Purchase Order (PO) or signed agreement on company letterhead.
- ✓ Government Photo ID: Aadhaar Card, Passport, or Driving License.
- ✓ Current Address Proof in Indore: Rent Agreement, Electricity Bill, or Company / College ID card.
- ✓ Employment / Student Verification: Work email, offer letter, or valid student identity card.
- ✓ Refundable Security Deposit or post-dated security cheque.
Security Deposit & Refund Policy
We maintain a transparent, zero-hassle security deposit policy designed to protect both the client and our equipment fleet.
Registered corporate entities, verified MSMEs, and established IT companies in Indore qualify for Zero Security Deposit upon successful corporate credit and GST verification.
- Deposit Determination: For individual renters, the security deposit amount depends on the equipment configuration (e.g. ₹2,000 to ₹5,000 for standard Core i5 laptops, higher for Apple MacBooks or high-end workstations).
- Instant Refund: The security deposit is refunded on the same day the equipment is returned and inspected by our delivery technician. Refunds are transferred instantly via UPI, IMPS, or Cheque reversal.
- No Hidden Deductions: No processing fees, cleaning charges, or administrative overheads are ever deducted from your refundable deposit.
Rental Tenure, Invoicing & Extension Policy
We offer four flexible rental billing cycles:
- Advance Rental: Monthly rent is payable in advance at the start of each billing cycle upon receipt of the delivery challan or tax invoice.
- GST Invoicing: All rentals are billed under official 18% GST Tax Invoices, allowing businesses to claim full Input Tax Credit (ITC).
- Hassle-Free Extensions: Need to extend your rental? Simply send a WhatsApp confirmation or email at least 3 days before your current tenure expires. No re-documentation required.
Doorstep Delivery, Inspection & Returns
We take full responsibility for safely getting the equipment to your home or office and picking it up when your rental concludes.

Pre-Handover Joint Inspection: Our delivery technician boots the machine in your presence, demonstrates charging, webcam, keyboard, WiFi, and specifications. You sign the delivery receipt only after you are 100% satisfied.

Doorstep Return Pickup: At the end of your rental period, our technician arrives at your premises, inspects the device, issues a physical return acknowledgement slip, and processes your deposit refund on the spot.
Maintenance, Repairs & Hot-Swap Guarantee
Unlike buying computers where you must deal with lengthy manufacturer service center queues, renting with My IT Rental includes comprehensive on-site warranty coverage.
If any rented laptop, desktop CPU, monitor, printer, or UPS develops a technical or component fault during your rental tenure, our Indore engineering team will repair it on-site or swap it with an identical machine within 2 hours at zero cost.
- Normal wear-and-tear (e.g. hard drive failure, RAM degradation, adapter malfunction, OS issues) is 100% covered by us.
- Annual maintenance, fan dusting, thermal paste renewal, and operating system clean-up are included free for all long-term corporate leases.
Equipment Care & Accidental Damage Terms
Renters are expected to exercise normal reasonable care when operating the equipment.
- Prohibited Actions: Renters must not open device casings, remove warranty seals, tamper with internal serial numbers, or attempt unauthorized third-party repairs.
- Accidental Physical Damage: In the rare event of accidental physical impact (e.g., cracked LED screen, liquid spill, or broken hinge), repairs are charged strictly at actual wholesale component cost without inflated penalties.
- Theft or Total Loss: In the event of burglary, theft, or complete destruction, the renter is responsible for reporting an immediate police FIR and compensating the depreciated book value of the hardware.
100% Data Confidentiality & Drive Sanitization
We strictly uphold enterprise-grade confidentiality. We understand that your rented laptops contain proprietary client information, personal files, and passwords.
Every returned laptop and computer immediately undergoes a certified DOD/NIST disk sanitization wipe at our Yashwant Plaza workshop. All user profiles, browser history, cookies, and files are permanently deleted before the unit is reassigned to any other client.
